Ben Franklin PTA Board - Descriptions of Positions

President: (in process)

President-elect:
This position is to prepare the individual to be President the following year.  The individual will familiarize themself with all aspects of the President's position, including putting together an agenda, running a meeting, and following up with issues generated from meetings or other avenues of communication.

Treasurer: (in process)

SCRIP Treasurer:
The SCRIP Treasurer is responsible for the accounting related to SCRIP purchases and sales.  The SCRIP Treasurer does not handle the actual
sales of SCRIP.  The position includes:

- Deposit checks in the PTA account at Bank of America (Houghton) a couple of times a month.
- Write checks to reimburse for purchases of SCRIP cards.  The individual needs to be on the list of signers for the bank account.
- Track SCRIP balances via an existing Excel spreadsheet.  Take numbers from bank statement to generate balances for Inventory, Sales,
etc.  These numbers come from monthly bank statements. Knowledge of Excel or spreadsheets is helpful.
- Present balances at monthly PTA meetings (first Thursday of the month).


Health and Welfare VP:  (in process)

Special Events VP:
The VP of Special Events are responsible for the planning and execution of the following events: 
  • Back to School Tea (first day of school)
  • Fall Family Night (pizza or whatever it is!) (September)
  • Bingo Night (Jan)
  • International Night (March)
  • Staff Appreciation Week (May)
  • Pancake Breakfast (June)
  • Volunteer Awards (June) – note that this is not the meal or decorating – just the awards 

In general, you would do the Back to School Tea and Fall Family Night yourself because they are within the first month of school.  This is a very busy time for special events and it starts with planning the back to school tea before school starts as it is on the first day. 

Other events are usually chaired by one or more people that you recruit.   (Note: Heidi O’Conner has been doing Bingo Night for years and will probably continue for one more year until her daughter leaves).  You can do them if you wish but staff appreciation especially is huge and really too much for one or even two people.  It works well to get a chair for each day and a chair to handle door decorations.  You can do one day and oversee the entire project. 

It is important to start lining people up for these roles as soon as you can.  Many people have traditionally helped with certain roles for special events and usually step up to help.  It is also helpful to have sign up sheets at the back to school tea for each event and at the curriculum nights as well. 

Fundraising: (in process)

Communications:

The Communications committee has activities year round, but the time-consuming activities are in the fall. 
  • August:  Confirm with President(s) date for assembling packets is scheduled and helpers recruited. Finalize (and xerox) two forms for the welcome packet (Volunteer Signup and Directory/PTA Membership).  Note names of helpers at First Day Packet assembly for thank you's in next newsletter.  Encourage membership chair to get student list from school secretary and make any updates to directory that can be made ahead of time, e.g. delete student entries if student has left school.
  • Before school starts: (depending on school start date): Prepare First Day Packets the week before school starts. The school will have several items that need to be included.
  • September: The big push for membership.  Get forms returned for the directory.  Solicit volunteers via Volunteer Form and Directory Membership flyers.  Also need to be present at school functions (Welcome Back Tea, Curriculum Nights, etc.) with a table soliciting volunteers and PTA membership.
  • October: Proof reading of directory; send directory to press.  Staff school pictures and retakes.
  • November: NomComm training is offered by the LWPTSA Council usually once in November, and once in January.
  • January: Select Nominating Committee members; Milestone for the yearbook
  • March: NomComm recommendations are due and posted at the school 14 days prior to the General Election.
  • May: Yearbook milestone.  Staff class pictures.  This is also the time to plan ahead for the Fall membership drive (select theme, talk about publicizing it, etc.)
  • June: Check with president(s) on scheduling the First Day Packet assembly date.

Ongoing Communications activities: 
- Reader board 
- Website 
- Thursday packets
- Display case

Education and Enrichment:
  • Identify, approve and schedule after-school enrichment classes to take place throughout the year. Examples include language, science, art, and chess classes.
  • Provide guidance and support to committee chairpeople and facilitate communication between the committees and the Board of Directors.
    Committees supported include
    • after-school classes,
    • art docent program,
    • chess club,
    • WSPTSA Reflections art program,
    • professional science program, and
    • professional art program.
